How Do I Create an Order Card?

Orders and segments in VIA® are similar. You can create both with stops, freight, billing and costing information on both card types. The main difference is that you can join multiple orders onto one segment. In an LTL environment, a segment could be considered a trip while the orders would be the individual orders on the trip. In VIA®, you don't need to put orders on segments to move them; as you can assign resources and move orders through to completion on their own if that meets your business requirements. While these instructions are geared towards orders, you can use much of this information to create segments as well as orders.

The following instructions will include how to do the following:

  • Add Stops to an Order
  • Remove Stops from an Order
  • Rearrange Stops Within an Order
  • Add Freight to an Order
  • Add Accessorial Charges to an Order

To create  a new card, open an order type board and click on the list that you want to add the card to. Press the plus button on the list. For more information on adding a card click here to go to the create a new card section of the help menu.

How to Add a Stop to an Order

If you are adding a new stop to a card for the first time (there are no other stops). Click on the Order Details Tab and then select the + button beside the Stop Summary header:

Pressing the button will insert a new blank stop. To configure the stop with the location and stop type click on the stop header:

In the stop information screen enter in the type of stop that you are adding; pickup, delivery or None (this can be a waypoint or boarder crossing etc). Enter in the remaining address fields or search for a customer record by pressing the magnifying glass button in the Company ID field. Scroll to the bottom of the screen and enter in the required stop arrival and departure dates/times.When you are finished presss the Unsaved Edits button on the top right side of the tab; which will bring you back to the stop summary screen.

Now that you have more than one stop there are actually two ways to add addition stops. You can continue to add a stop by pressing the + button as you had done before which will insert a stop at the bottom of the existing stops; or you can press the + button on the left side of the stop section

when you press this button you will have the option to insert a stop before or after the stop that you have selected. 

How to Remove a Stop From an Order

If you have a stop on your order that you would like to remove you can do so by clicking on the X on the right side of the stop segment.

NOTE: There is no confirmation when you delete a stop so be cautious about pressing that button.

Rearranging Stops on Orders

You can rearrange stops within a card by dragging them up and down the stop list. You cannot drag an incomplete stop above a completed stop.

Add Freight to an Order

There are two options to adding freight to an order. When you start a new order there will be a new tab that you can click on called freight details.You can also press the + button at the top right side of the card and press the freight option under the Add section of the menu.

 


This will insert a new tab called freight details onto your card. From this tab, you can add commodity, class, and dimension information for your freight details. From within this tab, you can also assign your freight details to a specific stop if you like from within this tab.

Add Accessorial Charges to an Order

To add an accessorial charge to an order click on the + button at the top right side of the card and select Accessorial under the add section of the menu.


From within the Accessorial popup screen enter in the accessorial code you want to charge to the customer. Determine if the units will be in hours (for charges like waiting time) or by dollars. Finally, enter in the amount of the accessorial charge and press Add Accessorial to complete the process. Any accessorial charges that you add to the card will appear on your accessorial tab 

You can continue to add additional charges using the method above or, you can press the plus button on the accessorial tab to add more charges to the order.
