Viewing and Accepting Load Offers

The Offered page in the load offer system will display loads that have been offered to one or more carriers.

Load Offer Grid

A summary of the loads that have been offered will appear in the grid on the lower part of the screen. This will include When the load was posted (note: all load offers will expire after a defined period of time if they are not accepted by any carrier), The rate, origin and destination information and freight summary information. The final column on the right represents the company that sent the load offer. If you have a partner network relationship with multiple companies, then you will see them all on this screen and this company column will help to establish which of your customers is submitting the load offer.

Refresh and Sorting Options

On the top right side of the screen are the refresh settings. By default, the system will not auto refresh. You can press the refresh button at anytime to see new load offers and to see when loads move from the offered page and the history pages. Tranztec Load Offers also gives you the opportunity to have the page auto refreshed. Your options are 1, 3, 5, or 10 minutes. If you choose to auto refresh the screen you can still click on refresh to manually refresh the screen at anytime.

Some of the columns that you see in the grid can be clicked on to change the sorting. If you are choosing to sort by these columns, you will see either an up or down arrow beside the column name. The field that you can sort by are Posted, Rate, Company.

Filtering

You can filter the information that appears in the grid using the filter button on the top left side of the screen. Clicking on the filter button will display a filtering popup. Enter in your filter criteria and press the search button on the bottom of the screen.

In the above screen shot, a filter looking for loads with a payment amount between 600 and 1000 has been created. You can remove one of the conditions by clicking on the X beside the filter option on the bottom of the screen, you can select clear search and all the filter criteria will disappear. If you click on Search then only the loads that match the criteria you entered will be displayed.

 

Your filter criteria will appear on the screen to the right of the filter button. You can adjust the filters from this screen as well by clicking on the X next to the filter condition to remove it.

Viewing Load Details

Clicking on any of the loads in the grid will open up the load details screen for your chosen load.

 

At the top of the screen you can find a load number, pickup date and a contact name and email if you have any additional questions on the load:

 

Below the contact information, you will find a map view of the load.

 

Under the map, you will find a section that lists the rate the customer is selling the load for as well as load summary information. In this section you will also find buttons to Accept or reject the load. Note that you do not have to reject a load to move it to the history page. Once a load offer expires (or if another carrier accepts it before you do) it will automatically move to the history tab.

 

Below the rate section you will see details on the freight and the stops related to the load that has been offered. These fields are for informational purposes only.

Accepting or Rejecting the Load Offer

You have three options when you are dealing with the load offers that appear in your offered tab:

  1. Accept the Load - If you accept the load then you will be assigned to the load in the VIA system, the load offer will disappear from the offered screen for all trucking companies that the load was offered too and you will be responsible for completing the load. The load will move the History tab for you as well and will show in the list with a blue checkmark to signify that you have accepted the load.

  2. Decline the Load - If you decline the load offer then the load will move disappear from the offer screen and move to the History Tab where it will show with a red x in the first column to signify that you have rejected the load offer.

  3. Do Nothing - The load offers will expire after a date set by the customer. If you neither accept or reject the load offer, then when the expiry date passes the load will automatically move to the history tab with a timed out icon visible on the first column.

If you choose to accept or reject a load offer, this can be done by opening the load details in the offered page and clicking on either Accept or Reject.

NOTE: If you have accepted a load offer and you can no longer complete the load, you will have to manually reach out to the customer to inform them of the operational change. You cannot remove a load once you have accepted it.
